Introduction
Whatever the reason an organisation decides to adopt a visitor management system there is a seemingly universal requirement. That is visitor sign in notifications. A visitor signs in, chooses who they have come to see and their host gets a message to tell them their visitor has arrived. It makes complete sense of course... hosts need to know their visitors have turned up.
The standard notification methods we have in Welcm are email and Slack. However, sometimes organisations have messaging tools that are already part of their in-house communication system. For these customers Welcm Custom allows us to create a visitor management system that can send notifications using their existing systems.
How it Works
Welcm Custom allows us to create a visitor management system specifically for an individual customer. Welcm is the starting point to which we add whatever the customer requires. This means the customer receives all the apps that form Welcm (the iPad visitor sign in app, the online dashboard and the iPhone companion app) but with their own special tweaks included as well. In the case of custom notifications we would create a new method which uses the organisation's existing tools. As such, employees are still able to use the tools the always do and don't have to learn a new process or open another application when they get to work.
Our Experience
Examples of custom visitor sign in notifications we have created include the following.
Notification tool: Existing room booking system
Requirement: A room booking system had been used by our customer for a number of years. The application was always open on all employees' PCs and had the capability to receive notifications. We used the system's API to enable Welcm to send visitor sign in notifications through the room booking app. This meant employees now got the benefits of using Welcm without having to take on process changes.
Notification tool: Internal instant messaging tool
Requirement: Our customer used a bespoke IM system as part of their company intranet. It allowed employees to quickly and easily communicate with their colleagues wherever they were based. Through a change to the existing notification method, their custom visitor management system was added to the IM tool. Employees then received visitor arrival notifications direct to their chat window.
